Family Reunion Committeesby Teresa McEntire | More from this Blogger 30 May 2006 08:26 AM After the specifics are decided (see my blog Planning a Family Reunion) then you can organize committees to make sure that all of the details are taken care of. Of course one person is ultimately in charge of making sure that the committees do their job but it's a good idea to share the responsibility. Finance Committee This committee is responsible for handling the money and bookkeeping for the reunion. If you plan on holding yearly reunions it is a good idea to open a bank account for the reunion. Make sure that the person who signs the checks is honest and responsible. Food Committee To some this committee is the most important because after all what is a family reunion without food? This committee decides how to feed the guests, potluck, catering, or each family brings their own food. They organize the food and make sure that there will be enough. They are need to plan for eating utensils and drinks. Activities Committee Every reunion needs some type of activities whether it is games or a program. This committee is responsible for planning the activities, bringing the necessary equipment, and then carrying out the activities or finding someone else to run them. You also might want to have awards for the winners. Communications Committee A family reunion wouldn't be a family reunion if no one showed up. This committee makes sure that every family member knows what is happening and when. See my blog Inviting Family to the Reunion for some ideas on what this committee can do. Photography Committee They say a picture is worth a thousand words so make sure that you have plenty of photographs or video of your family reunion. As a child I loved watching the videos of our family reunions. It's a great way to keep the memories alive and see how much people have changed. Welcoming Committee This committee can greet family members when they arrive. Hand out nametags if needed and be responsible for planning a welcoming or get to know you activity. Set-up and Clean-up Committee This committee is the first to arrive and the last to leave, so pick the right people. They are responsible for the decorations and setting up chairs and tables if needed. They also are in charge of taking down the chairs, table, and decorations. It is essential to the smooth functioning of the gathering and allows key planners to oversee the entire operation without distraction. An important factor to keep in mind is that committee assignments tend to overlap. When holding your initial committee meetings be certain to pass on written instructions including the various assignments, tasks and materials needed. Funding the reunion means having your treasurer and committee head approve all requests for funds from the subcommittees before issuing funds. It's helpful to ask subcommittee heads to spend thriftily and avoid making needless purchases with a view to saving funds for the next reunion. This can often be best accomplished by having a standard shopping list for each subcommittee. An even better approach is forming a supplies and materials department who provide all that is needed according to a pre-written supplies list that fits the budget. Your setup department should include your decorating talent, those skillful in arts and crafts and individuals with carpentry skills as well as building props and setting up and using sound systems. These same individuals should be involved in dismantling.
